Privacy notice

This notice explains what we collect when you register for your room key at our pop-up at Regus Chippenham, why, and what your choices are. It sits alongside the Roseate Hotels & Resorts Privacy Policy, which applies in full.

Who we are

This pop-up is run jointly by two Roseate Hotels & Resorts companies, which are joint controllers of the information you give us here:

• Eiderdown Limited, trading as The Roseate Villa Bath. Company registration number 07245759. Registered address: Villa Magdala, Henrietta Road, Bath BA2 6LX.
• The Roseate Wiltshire Limited, trading as Beechfield House Hotel. Company registration number 16217116. Registered address: 3 Westbourne Terrace, London W2 3UL. Hotel address: Beechfield House, Beanacre, Wiltshire SN12 7PU.

You have the right to make a complaint at any time to the Information Commissioner's Office (ICO), the UK supervisory authority for data protection (www.ico.org.uk). We would appreciate the chance to deal with your concerns before you approach the ICO, so please contact us in the first instance.

What we collect

When you register we ask for your name, company and email address. When you check in at our pop-up we record the date and time of your visit and which member of our team checked you in. We also record which link or post you registered from, so we know what reached you.

We do not collect any special categories of personal data.

Why we use it

• To issue your digital room key and check you in at the pop-up.
• To run the prize draw: entering you, selecting and contacting the winners and arranging the prizes (see the prize draw terms).
• To follow up on the conversations we have with you at the pop-up about The Roseate Villa Bath, Beechfield House and our other UK hotels.
• To send you Roseate Hotels & Resorts news and offers by email. By entering the prize draw you opt in to these; you can unsubscribe at any time using the link at the bottom of any email, or by emailing christiana.kiose@roseatehotels.co.uk.

We may contact you about the administration of the prize draw whatever your marketing preferences.

Who sees it

Your details are held in our own Microsoft 365 systems and seen by the Roseate UK sales and marketing team and the teams at both hotels. We do not share email lists with other organisations and businesses, and we will never release your personal details to any third party for their own marketing purposes. We use third-party providers to host this page and to deliver our emails; they process only what is needed to provide the service and are not permitted to use it for their own purposes.

How long we keep it

We keep your registration and check-in record until the prizes have been awarded and redeemed, and your contact details for as long as you remain in touch with us or until you ask us to remove them. You can ask us to delete your data at any time, subject to any legal obligation to retain it.

Your rights

Under UK GDPR you have the right to ask for a copy of the information we hold about you, to have it corrected or erased, to object to or restrict its processing, to receive it in a portable format, and to withdraw consent at any time. You can exercise these rights with either company.
